Operating Guidelines - IndigoRunMen

The IndigoRunMen's group will organize and promote social activities for all men from Indigo Run.

Purpose

The purpose of these Operating Guidelines is to provide the framework for a new organization that is currently in the development stage within Indigo Run. The ultimate goal is to formalize the organization and replace these Operating Guidelines with appropriate By-Laws.

Charter

The IndigoRunMen’s organization is a non-profit organization whose purpose is to identify and promote activities that encourage camaraderie and interaction among all men of Indigo Run. The membership of this organization shall be open to all male residents and property owners of Indigo Run.

Board of Directors/Leadership Team

Initially, the Board members will provide the leadership required to launch the new organization and to provide the strategic and tactical direction necessary to be successful. The Board of Directors/Leadership Team will consist of the following positions:

President

The President shall be responsible for scheduling and presiding over all Board meetings and membership meetings including the annual membership meeting. In addition, the President shall ensure that all activities are properly coordinated among the Leadership Team.

Vice President - Activities

The Vice President - Activities is responsible for periodically polling the membership to determine the type of activities that are of interest and to pursue the delivery of those activities that are deemed of sufficient interest to warrant attention. It is intended that this position will form an appropriately sized committee to fulfill its charter. In addition, it is expected that this position will coordinate activities with other Indigo Run organizations to minimize conflicts with other community activities.

Vice President – Communications/Marketing

The Vice President – Communications/Marketing is responsible for determining the items to be communicated and the method for communications (e.g., internet, telephone calls, bulletin board notices, etc.). In addition, he is responsible for promoting individual events. It is intended that this position will form an appropriately sized committee to fulfill its charter.

Treasurer

The Treasurer, in coordination with the other Board members, is responsible for establishing the annual dues amount. In addition, the Treasurer is responsible for receiving all monies, paying all bills, keeping accurate records, providing an annual financial report to be communicated to all members and preparing, with assistance, any tax forms that may be required. The President and other Board members, excluding the Treasurer, are responsible for auditing the financial records on an as needed basis.

The Treasurer will coordinate with the other Board members to establish the charge for each individual event. It should be noted that non-members could attend events if space is available. However, a two-tiered pricing of events will be used to encourage membership. Non-members will pay a premium over and above the member event charge. This premium is to be determined by the Treasurer on an event-by-event basis.

Secretary/Membership

The Secretary is responsible for maintaining records of all official correspondence and for the preparation of appropriate meeting minutes. These minutes are to be shared with and agreed to by the Leadership Team before being finalized. The Secretary will be the Leadership Team member charged with promoting, growing and maintaining records of the membership. An appropriate sized committee will be organized to support this activity.

Dues

The annual dues will be $25.00. The annual dues amount will be reviewed annually to determine if a change is required. Dues are to be paid by January 30 of each year. New members joining will pay the full annual dues unless they join after June 30. Those joining on July 1 or thereafter will pay one-half of the annual dues.

Upon dissolution of the IndigoRunMen, the Leadership Team shall ensure that all liabilities are paid and dispose of all remaining assets to a local charity determined by the remaining general membership.

Election of Officers

A Nominating Committee shall present a slate of officers (one for each office) at the annual general meeting. The Nominating Committee shall consist of 3 members; two from the Board and a member at large. The Board will make the selection of the member at large.
